Submission Procedures

STEP 1: COMPLETE TRAINING

All investigators, key personnel, and faculty advisors are required to complete human subjects research training at least once every three years and provide a copy of training documentation to the IRB with all applications submitted for review. EKU provides a subscription to the Collaborative Institutional Training Initiative (CITI) online training system,and the Basic Course is used to satisfy training requirements. Click here for instructions on registering and using the CITI training system. At the end of the training, a Completion Report will be issued. This document must be attached to the application at the time of submission for the principal investigator, key personnel, and faculty advisors.

STEP 2: CLASSIFY THE RESEARCH

Classify the research project as an exempt, expedited, or full review study.

STEP 3: COMPLETE THE APPLICATION MATERIALS

Complete the appropriate application materials and all required attachments.

STEP 4: SUBMIT APPLICATION MATERIALS

Submit the application and supplementary information, including the CITI Completion Report and all required attachments, to Sponsored Programs, Jones 414/Coates CPO 20. There is no deadline for exempt or expedited review applications; they are reviewed on an ongoing basis. Investigators can typically expect to receive notification of approval in approximately two weeks from the submission date. Approval times may be extended during the summer months and other times when faculty are away from campus. Applications submitted for full review must be received by Sponsored Programs by the 20th day of the month in order to be reviewed during the meeting scheduled for the following month. Applications submitted after the deadline will be scheduled for review at the next meeting.

STEP 5: CHECK EKU EMAIL FOR CORRESPONDENCE FROM IRB

All IRB communication is sent through official EKU email accounts (or another account provided by non-EKU employees/students). If IRB reviewers have questions about an application or request changes to an application prior to issuing an approval, investigators are notified by email. It is the responsibility of the investigators to check email regularly during the review process and respond to inquiries promptly. Delayed responses will always result in a delay in the approval process. Approval notifications and stamped consent forms (if applicable) are also distributed to investigators by email.

You might want to start working on the CITI training so that you can then focus on the application after the SoTL Institute.
Your project will probably be either exempt or expedited, so you can submit your completed application at any time. This is good.
